Access, export and deletion requests
Your data belongs to you and getting it out should not require a conversation with us. Everything below is self-service and free. Ask us to do it for you instead if you would rather.
1. See what we hold
Settings → Privacy → My data lists every category of information on your account: the time inputs you supplied, your consent record with dates, journal entries, check-ins, symptom notes, plan and payment history. It is the same view we would send you if you filed a formal access request.
2. Export it
Settings → Privacy → Export my data produces a machine-readable file containing everything you have entered, plus your account metadata and consent history. It downloads immediately in normal circumstances; a very large journal may take a few minutes and we email you when it is ready.
There is no charge, no limit on how often you may export, and no requirement to explain why.
3. Correct it
Journal entries, check-ins and time inputs are editable in place. For anything you cannot edit yourself — an email address you have lost access to, for instance — write to privacy@e5elements.com.
4. Withdraw a consent
Settings → Privacy → Consents lists each consent separately with the date you gave it, and each has its own switch:
- Sensitive wellness data — storing birth time inputs, questionnaire answers, check-ins and symptom notes. Withdrawing stops the processing and deletes those records.
- Product analytics — optional usage measurement.
- Reminders — solar-term transition notifications.
- Marketing email — product news. Off unless you switched it on.
Withdrawal is as easy as consent was. Turning any of these off does not lock you out of the product; the core service keeps working.
5. Delete an individual record
Any journal entry, check-in or symptom note can be deleted on its own from the entry itself. Deleted entries are removed from your account immediately and purged from encrypted backups as those backups age out, within 30 days.
6. Delete your whole account
Settings → Privacy → Delete my account. You re-enter your password to confirm, because this cannot be undone.
What happens then:
- Your account, journal entries, symptom notes, time inputs and consent record are deleted immediately from live systems.
- An active subscription is cancelled at the same time, so you are not charged again. If you are within the refund window, tell us and we will refund the last charge as well — see the refund policy.
- Encrypted backups are rotated on a rolling basis and your data is gone from them within 30 days.
- We instruct our processors to delete their copies and we keep the record of having done so.
What we must keep, and why:
- Transaction records — date, amount, tax and order reference, kept for 7 years because tax and accounting law requires it. These are financial records, not your journal.
- Security logs — retained on their normal 30-to-90-day cycle, then deleted.
- A minimal suppression record — if you asked not to be emailed, we keep just enough to honour that.
Cancelling a subscription is not deletion; your data stays and your account reverts to Free. Deleting your account is not reversible and we cannot restore it afterwards, so export first if you want a copy.
7. Ask us to do it instead
Email privacy@e5elements.com from the address on the account, telling us which right you want to exercise. If you write from a different address we will ask you to verify ownership — that check protects you from someone else deleting or downloading your records.

Where the law that applies to you sets a shorter deadline, we meet that instead. If a request is genuinely complex we will tell you before the outer limit, explain why, and give you a date. We do not charge for any of this, and using these rights never affects your price or service.
8. Authorised agents and representatives
You may use an authorised agent, and we will ask for proof of your authorisation. For a deceased account holder, a personal representative should write to privacy@e5elements.com; we will explain what we need and handle it with as little bureaucracy as the circumstances allow.
9. If we let you down
Reply and ask for escalation; a different person reviews it. You can also complain to your local data protection authority, and you keep that right whether or not you complain to us first. We would prefer the chance to fix it.
